Role Profile

We are seeking someone to provide marketing, administrative support and office management services to the Guernsey team.

  • Provide administrative support and office management services to the Guernsey recruitment team
  • Ensuring the office is compliant with Data Protection and Health & Safety regulation
  • Uploading all incoming job descriptions to the company website
  • Database and spreadsheet maintenance for candidates, clients and active jobs
  • Uploading and certifying candidate compliance/registration documentation
  • Liaison with suppliers & contractors to ensure the smooth running of the office
  • Processing invoices and expenses for our UK-based accounting team
  • Restocking and monitoring stock levels of office stationery and sundry items
  • Making travel bookings for weekly/monthly inter-island and UK visits
  • Liaising with recruiters to ensure candidate compliance is up to date, including but not limited to;
    • Records, paperwork, employer references and testimonials;
    • Assisting the Marketing and Communications Officer with ad hoc marketing tasks.

 

Meetings Checklist:
  • Ensure meeting rooms are cleared and replenished after each meeting
  • Be aware of the meeting room calendar for each day
  • Escort attendees to meeting room and offer tea/coffee/water
  • Request relevant compliance from the candidate
  • Notify consultant of arrival

 

Any other general duties, to include:
  • Keeping the reception desk and reception area tidy
  • Keeping “Starter Packs” spreadsheet correct, current and up to date
  • Obtaining items for “new starter packs” (Ben Le Prevost chocs & Rouge vouchers)
  • Making up “new starter packs” for candidates, to be delivered on / before first day of joining new firm
  • Making up “client packs” for consultants to take out with them on client visits
  • Being the bright, cheerful and happy face of AD, to act as first point of call for all visitors to the premises.
